Creating a new audit

A user with auditing enabled can start a new audit by pressing the +Create new button (top left on your computer screen, bottom middle button on a mobile device).

You can also create a new audit from your Home screen by pressing the button on top of your ongoing audits.

You will be presented with a list of all the audit checklists that you have access to. Choose the template you are conducting.

Then choose the location to start the audit.

The audit has questions organised by section. All questions belonging to each section are found on the page, scroll down to reach the next question. You can navigate between sections by pressing Previous / Next on the bottom of the screen, or alternatively by selecting from the section list on the left of the screen (only available on a computer screen).

Each question is ordered from the best alternative on top, to the worst option at the bottom. The alternatives are also colour-coded from green to red, with different shades of yellow in between. Some questions may have one or several options for answering Not applicable. These options are at the very bottom of the screen, and are easily identified by their gray colour coding. Selecting an answer that is set as not applicable will nullify the question in the audit, removing it completely from the total scoring of the audit.

All required questions are marked with a red * asterisk. On a computer screen you can also follow the overall progress from the audit section list by seeing an overview of how many required questions are left in each section, as well as a total progress percentage below the list.

Adding an observation to the audit

It is possible to add observations to the audit. Do this by clicking Add observation below the question.

The observation ticket should be given a title, and if there are any pre-set questions added to the observation form, these should be answered.

You may also add photos or other attachments to the ticket. If the ticket is observational only, it does not necessarily require any follow-up actions, but if some action should be taken, you can select the Follow-up actions needed-button. This will trigger an assignee-field and a deadline to appear.

Once you hit Save the ticket will be stored below the audit question. The observation is only be created once the audit is completed. This means that all notifications are sent only when the audit is completely done, not during the auditing phase.

Completing an audit

When all required questions have been answered you may complete the audit by pressing Complete on the button that appears at the bottom of your screen.

If you are on a mobile device, the Complete button appears in the place of the 'Next' button on the bottom right-hand side of your screen. It is only accessible from the final section of the audit.

When pressing Complete you'll first see a preview of the completed audit. On the bottom of the screen is a new button with the text Complete audit. By pressing this button, you will have successfully completed the audit. This in when the audit score is calculated and assignees and participants are notified of any audit observations that they are privy to.

Viewing completed audits & audit observations

The completed audits that you have view rights to can be viewed from the Audits-tab.

The observations are stored in their own Observations-tab. Here you will be able to see all the observations you have view rights to.

If you are using to gather reactive observations as well, the Observations-tab will contain these observations also. You can filter for reactive observations or audit observations by using the filtering tool Observation source, found towards the bottom of the filtering section on the right side of the page.
